This is a 0.8 FTE position – 32 hours per week to be worked over 4 or 5 days (negotiable with applicant).

Preferred start date: early July 2024 but negotiable for the right candidate.

This position must be worked on-site (Vanguard Street, Nelson). Free parking is provided.

Bishopdale College is inviting applicants for a key administration position. Working closely with our senior administrator, the College Administrator will help the staff team drive the College forward as an innovative enterprise dedicated to a vision of ‘servant leaders for vibrant serving churches’. This is an exciting opportunity for an individual who shares the College’s vision for the formation of Christian leaders.

Bishopdale College is a developing theological college in central Nelson, established by the Anglican Diocese of Nelson in 2006 to form Christian leaders across the body of Christ. Half of our students are connected to Anglican settings, with the other half from a range of churches and Christian organisations. Our key focus is on discipleship, mission, and leadership formation. We offer our own qualification as well as working in close partnership with Laidlaw College.

We are seeking candidates with strong general administration skills, but equally vital is finding an individual who resonates with the College’s vision. We welcome enquiries from individuals who may not have strong experience in all the tasks required. Our ideal candidate will:

• Share a commitment to the Christian ethos of Bishopdale College.

• Have experience in academic administration OR comparative work experience with transferable skills.

• Excel in taking initiative to find out ‘how things work’, including excellent problem-solving.

• Demonstrate excellent time management and the ability to prioritise among multiple tasks.

Key Responsibilities:

·        Partner with the staff team in shaping the College as a community of discipleship and mission-shaped training and study.

·        Coordinate with staff team across multiple areas of College life to ensure a positive student experience.

·        Support the Dean and/or College Director with tasks that arise on an ongoing basis.

 

Specific Functions:

·        Site management, including maintaining ongoing cleanliness of facilities, maintaining cleaning, administration and hospitality supplies, managing campus access, and overseeing civil defence requirements.

·        Event management, including catering for regular student events, chapel lunches, Graduation, and the staff Christmas function.

·        Health and Safety, including maintenance of the H&S register, convening the health and safety committee annually, maintaining the Safehere database, and ensuring first aid and other requirements are met.

·        Managing the full cycle of meeting administration, including scheduling, agendas, gathering reports, taking minutes, and following up on tasks and to-dos.

·        Financial reconciliation, including staff credit cards, ongoing invoicing, receipts and reimbursements, completion of timesheets, petty cash, and other financial administration.

·        Regular weekly email communication to staff and students, including notification of upcoming deadlines and events.

·        Marketing and promotions, including:

o   Social media management, including regular posts on Facebook and Instagram, and targeted marketing.

o   Supporter newsletters.

o   Website content.

·        Working with students from initial enquiry through to enrolment, including prompt response to all methods of ‘first contact’, management of enquiry database, and ensuring enrolment paperwork is accurate and correctly filed, and course selection is completed and College records updated.

·        Administrative preparation for the start and end of each semester, including generation of timetables, class lists, course outlines (CADOS), student evaluations and collating data for academic review.

·        Management of Bishopdale College’s Moodle, and relevant Laidlaw College Moodle requirements.

·        Student-facing administration, including general queries, and managing paperwork related to extensions, including forms, records of queries, and databases.

·        Maintain Sharepoint filing systems.

·        Maintain the College’s Zoom facilities, including scheduling meetings.
